It is the policy of Peopleconnexion Recruitment to respect the confidentiality of information and the privacy of individuals. Peopleconnexion Recruitment are bound by the Australian Privacy Principles (APP) contained in the Privacy Act 1988 (as amended) in Australia; and by the Information Privacy Principles (IPP) contained in the Privacy Act 1993 in New Zealand. What is personal data?
Personal data is defined as any information relating to you as an identified person. It includes information regarding your contact details, work experience, qualifications, aptitude test results, opinions about your work performance (e.g. references), incidents at the workplace, and other information obtained or received by us in connection with your possible and actual work placements.
What is sensitive information?
Sensitive information is a special category of personal information under the Australian Privacy Act 1988. It is information or opinion about you, including membership of a professional or trade association or membership of a trade union; criminal record; health information, racial or ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, or sexual preferences or practices. What information is being collected?
Peopleconnexion processes personal data in accordance with the Privacy Act 1988 (Cth) and principles set out in the EU’s GDPR.
We collect personal information about you when:
- You complete a job application submitted to Peopleconnexion, or provide any other information in connection with your application
- We receive any reference about you
- We receive results of enquiries that we might make of your former employers, work colleagues, professional associations or registration body
- We receive results from professional registration authorities,
- We receive results from educational institutions
- We receive the results of any competency or medical test or any background check We receive any complaint or other information from or about you in the workplace
- We receive any information about any insurance investigation, litigation, registration or professional disciplinary matter, criminal matter, inquest or inquiry in which you were involved
- We receive any information about a workplace accident in which you are involved]
- We receive personal information about you for payroll processing services
- You communicate with a Peopleconnexion consultant via phone, social media or email
- You visit www.peopleconnexion.com or Peopleconnexion’s social media pages (including Facebook and LinkedIn)
We gather information about all our website users collectively, such as what areas users visit more frequently and what services users access the most. We only use such data anonymously and in the aggregate. This information helps us determine what is most beneficial for our users, and how we can continually create a better overall website experience for you.
In some instances we may need specific information about you, such as name, address, email address, telephone number etc. We will collect this information if you apply for a job or sign up for a service via our website. We may also ask you for other information such as the types of jobs you are interested in and your workplace concerns in order to provide you with the best possible service and internet experience.
Legal requirements for personal information
Some laws such as taxation law, immigration law, laws regulating employment agencies, laws relating to national security, laws relating to professional or trade registration and laws for the protection of certain classes of people (such as children or the elderly) may require that we collect certain types of information (including criminal history and evidence of your right to work) from you that is relevant to the position/s for which you may be applying.

How is this information being used?
Your personal and sensitive information may be used in connection with:

- Any test or assessment (including medical tests and assessments) that you might be required to undergo

Who will it be shared with?
We may disclose your personal information (including to trusted third parties) for the purposes for which it is primarily held or for a related secondary purpose and in some cases we may only disclose information with your consent.

- Potential and actual employers, clients of Peopleconnexion Recruitment and trusted third parties
- Referees
- External providers of on-line training and induction – eg mandatory on-line H&S Induction
- Our insurers
- A professional association or registration body that has a legitimate interest in the disclosure of your personal

- A Workers Compensation body
- Any person with a lawful entitlement to obtain the information
- Our external CRM provider JobAdder and website provider JXT
- External job boards you choose to apply to Peopleconnexion through via an external profile or application form (for example, SEEK or PNG Workforce)
- External providers of payroll software services if you are a Peopleconnexion contractor (eg. Astute)
We do not disclose information about your individual visits to the Peopleconnexion website (www.peopleconnexion.com).
For each visitor to reach the site, we expressively collect the following non-personally identifiable information, including but not limited to browser type, version and language, operating system, pages viewed while browsing the Site, page access times and referring website address as well as demographic data including age, gender and location from the following services: Google AdWords, Google Analytics, Google Tag Manager, Facebook and LinkedIn. We also receive communication reports from our marketing and communications software providers Vision6, Kajabi, SurveyMonkey.
To review your personal setting or to unsubscribe please visit your Google ad setttings, Facebook or LinkedIn ad settings. To opt out of any communication with us sent via MailChimp, please hit unsubscribe in the footer of the email.
This collected information is used solely internally for the purpose of gauging visitor traffic, trends and delivering personalised content to you while you are on our website or social media page. From time to time, we may use customer information for new, unanticipated uses not previously disclosed in our privacy notice. If our information practices change at some time in the future we will use for these new purposes only, data collected from the time of the policy change forward will adhere to our updated practices.
How do we store and protect personal information?
At Peopleconnexion Recruitment, we train our staff to respect the confidentiality of customer information and the privacy of individuals. Peopleconnexion Recruitment regard breaches of your privacy very seriously and any breach will result in disciplinary action being taken, dependent upon severity.
Safeguarding the privacy of your information is important to us, whether you interact with us personally, by phone, mail, over the internet or other electronic medium. We hold personal information in a combination of secure computer storage facilities (including portable devices such as mobile phones, laptop computers) and paper-based files and other records, and take such steps as are reasonable in the circumstances to protect the personal information we hold from misuse, interference and loss, unauthorised access, modification or disclosure. We may need to maintain records for a significant period of time. However, when we consider information is no longer needed, we will remove any details that will identify you or we will securely destroy the records. Any aggregate information stored about visits to our website will be permanently deleted after 25 months.
We have strict policies in place to handle data management, and preventative procedures to prevent data breach. In the extremely unlikely case of a breach, Peopleconnexion will endeavour to contact the relevant authorities and individuals affected by the breach within 72 hours of becoming aware of the breach.
How do we keep personal information accurate and up to date?
Peopleconnexion Recruitment takes such steps as are reasonable in the circumstances to ensure that the personal information it holds and discloses is accurate, up to date and complete. We recognise that information changes frequently with changes of address and other personal circumstances. We generally update your information over the telephone. Please advise your consultant when your personal details change.
If you have created a profile with Peopleconnexion Recruitment via our website, you are able to review and edit your personal information at any time by logging into your account and reviewing your profile.
How to make an enquiry, complaint or erase your data

COMPLAINTS
We aim to acknowledge receipt of all complaints within 10 working days, and aim to resolve all complaints within 30 working days.
ACCESS
Subject to some exceptions that are set out in both the Australian Privacy Principles and the Privacy Act in New Zealand
Information Privacy Principles you can gain access to the personal information that we hold about you.
To make a request to access your personal information, you will need to complete an application form verifying your identity and specifying what information you require. Please contact our Privacy Officer for an application form. We will respond to your request within a reasonable period after the request is made and provide access to the information in the manner requested, if it is reasonable and practicable to do so.
If we refuse to provide you with access to your personal information, we will notify you in writing of the reasons for the refusal and the process for escalation regarding this refusal.
CORRECTION
You may request that we correct the personal information that we hold about you if you deem it to be inaccurate, incomplete, out-of-date, irrelevant or misleading. We will take reasonable steps under the circumstances to correct the information.
If we refuse to correct your personal information, we will notify you in writing of the reasons detailing our refusal to correct the information and the process for escalation regarding this refusal. Should we refuse you may ask us to place with the information a statement that the information is inaccurate, incomplete, out-of-date, irrelevant or misleading and we will take such reasonable steps under the circumstances to associate the statement with your information. If you wish to exercise your rights of correction you should contact our Privacy Officer for an application form. We will not charge you for making the request to correct your information or associating a statement.
ERASURE OF PERSONAL DATA
You can delete your personal information or close your account by contacting us. If you do choose to close your account with Peopleconnexion Recruitment, we may retain personal information from your account as and where required by law. Please note that we are not able to identify you in any aggregate reports run by our website provider, or any analytics software run by Google so will not be able to identify or delete any metadata pertaining to your visits to our social media pages or website.
Feedback
Peopleconnexion Recruitment have several areas on our website where you can submit feedback, under the ‘contact us’ section (www.peopleconnexion.com/contact-us) or the feedback section of the website (www.peopleconnexion.com/feedback).
Any feedback that is submitted through this area becomes the property of Peopleconnexion Recruitment. We may use this feedback, such as success stories or responses to surveys, for marketing purposes, or to contact you for further feedback on the site.
